DEI Badging for Events

To learn more about our project, please check out the CHAOSS Community Handbook.

Please review the Diversity and Inclusion Event Submission Guidelines before applying for an Event badge.

Event Badging 3.0 is Released!

We are happy to announce that we have released the largest update so far!

We have added new metrics to the review process and performed some much-needed updates to our process for awarding badges.

Please Note: All applications from now on will be considered using v3 metrics until the next release.

Badge levels

Four statuses exist for the Diversity and Inclusion Event Badging:

Level Badge Percentage of Requirements Met
Pending Pending Less than 40%
Passing Passing Greater than or equal to 40% and less than 60%
Silver Silver Greater than or equal to 60% and less than 80%
Gold Gold Greater than or equal to 80%

Here are a few things you need to do in order to become a part of the review process:

  • Create a pull request to this repository to add your GitHub username to .github/reviewers.md, which is a file the bot uses for review assignments.
  • If your PR is accepted, make sure you are a part of badging/Reviewers team. If you are not a part of it yet, please post a comment below to let us know.

๐Ÿ‘‹ Hi!

I had some feedback as an Event Applicant:

  1. Something we might also want to ask when talking about speaker demographics is the talk submission review process, whether it is designed around increasing the diversity of speakers. Maybe ask these questions on the application?
  • If there is an open Call for Papers, is the submission review process anonymous?
  • Is there a diverse panel of abstract reviewers?
  • Is there outreach done to underrepresented and marginalized groups when a Call for Papers is open?
  1. Regarding the Code of Conduct, we might also want to ask about
  • the level of training given to those responsible for enforcing it at the event
  • if event registrants are required to read and agree to the CoC as part of the registration process
  1. And maybe this is a whole new section, but I think Accessibility/Inclusivity should be a big part of what we ask here:
  • is the event website accessible for visually and hearing impaired folks?
  • is the venue wheelchair friendly?
  • are there sign language interpreters or closed captioning available?
  • are there resources for visually impaired folks? (Volunteers to assist as guides, alternative versions of schedules in Braille or available besides just online?)
  • is the venue easily accessible via public transit?
  • for any food that is served, are there vegan/vegetarian/gluten free/dairy free/kosher/halal options, or accommodations for those with food allergies?
  • does this event conflict with any major religious or cultural holiday? If so, does that affect how you host your event? (which, the timing might be unavoidable, but it would be helpful to know that it's something they were aware of and thought about while planning)

And definitely it will be a little smoother when the process includes a form that can be filled out, but I was able to follow the clear documentation to submit my event. ๐Ÿ‘

Q What kind of commitment is moderating for Event Badging?
A We see a lot of variables affecting this time commitment, including our number of moderators and number of applicants. We expect, at the highest load, for the project to require about 20 minutes every couple of days for each moderator. As we get more moderators into the project, that commitment will shrink.

Q What happens if a reviewer is not responding or providing a review?
A In this case, we use a week as our reference time. If the reviewer has been assigned for a week and has not provided their review or responded to requests, you can unassign them. At this point, you must also assign a new reviewer. You can use your judgement to request a reviewer that you haven't seen on any events recently, or someone that you know will be reliable.
